The waybill module allows you to see waybills billed to your account. You can also search for specific waybills based on certain search criteria.
To search for specific waybills, use the search button at the top of the waybills page. The available filters are:
Branch (from and to)
Account (if you have multiple accounts)
Service
Waybill Date (start and end)
Waybill Number
Sender’s Reference
Invoice Number
To view a specific waybill, double-click on the row related to the waybill you would like to view.
Navigate to Waybill Editor:
Within Insight, go to Operations -> Waybills -> Add.
Account Details:
When capturing a waybill make sure to always start with the account number/name so that your existing sites, waybill number prefix and other details can be preloaded.
In the account field, enter your account number/name. Insight will suggest completions as you type. Choose your applicable account number from the drop-down. The account branch will populate, and if automatic waybill numbers are in place, they will be automatically generated.
Clients with a default sending address will find their account number and waybill number auto-populated.
You can contact your sales representative to have this setup for your user profile.
Waybill Number, Service & Date:
If waybill numbers are not populated, manually enter the waybill number.
Please enter the date for your waybill. By default the system sets this as the current date.
Select the applicable service for the waybill. Please see Service Levels part of the guide to get more information.
Sender's Information:
Use the search field to enter sender details.
Existing addresses can be searched by starting to type out the address and selecting the relevant previously used address from the drop-down list.
When entering a new address, you will always search for the suburb first. This is required to ensure your waybill is billed correctly.
Note: Suburb, Town/City, Postal Code, and Province fields are not editable individually due to billing requirements.
Previous addresses are automatically saved and you may use the search box to easily re-use a previously saved address.
Enter contact information, you can leverage saved contacts by starting to type in the Contact Name, clicking on the relevant contact from the drop-down list and the rest of their information will be automatically filled.
Receiver's Information:
Capture receiver details following the same process as sender information.
Waybill Weight and Pieces:
Enter waybill weight and the number of pieces.
Note: Weight may be automatically updated by our SWAD Machine for some cases.
Parcel Information:
Enter parcel details, using the pieces field for similar items or individually entering weight and dimensions.
Utilize the description of goods field for preloaded parcel sizes.
Insurance Option:
If you wish to insure your parcel, select "yes" from the dropdown, and enter the desired amount.
The waybill costs will adjust to include the insurance surcharge.
Saving your waybill
Click the save button to store your waybill.
Billing:
Billing details will be automatically calculated based on your rate structure.
Printing Shipping Labels:
Print your labels by clicking the "Print Parcels" button on the top right. Please refer to the Label Printing section of this guide to see how to setup your computer to do label printing.
Additional Information Tabs:
Explore extra details related to the waybill through tabs like Tracking, Images, POD, History, and additional references, located at the top of the waybill editor. These tabs will be further explained below.
